Business phone system without the phone closet

A business phone system should do three things well: make the company easy to reach, get each call to the right person and tell you what happened to the calls nobody answered. Youvoip does all three from the cloud. There is no PBX to buy, no carrier line to rent per desk and no add-on list for the basics, because the auto attendant, routing, voicemail to email, recording and analytics are on every plan.

What a modern business phone system includes

Owners usually start looking when something breaks: calls go to a personal mobile, customers hear an endless ring after five, or a departing employee takes the number that clients saved. A business phone system fixes that by putting the company, not the person, in charge of every number.

  • A main number with a professional greeting and a menu.
  • A direct number and extension for each employee, shown as caller ID on their mobile.
  • Ring groups for teams such as sales, service or the front desk.
  • Business hours, holiday schedules and an after-hours path.
  • Voicemail delivered to email with a transcript.
  • Recordings and a call log that the manager can check.

Office phone system decisions for owners and managers

The office manager builds the setup in a browser: who answers first, how long each phone rings, what callers hear at lunch. The owner gets one predictable bill per user instead of line rental, long distance and a maintenance contract. Finance sees no contract term and can add or remove seats as the team changes. When the company opens a second office, multi-site on Ultimate adds local numbers for the new location and a site admin who manages only that site.

Phones your team already has

Nobody needs a new handset. The business line rings in the mobile app, the desktop app and the browser. Reception and warehouse staff who prefer a real handset can keep compatible SIP desk phones. Read how the business phone app handles caller ID, transfers and voicemail.

Business telephone system cost, explained

With a landline setup you pay per line, per feature and often per technician visit. With Youvoip you pay per user, and the features that other providers often sell as add-ons, like recording and analytics, are already in the price. Unlimited calling in the US and Canada is included, and toll-free minutes are pooled across the account. For a line by line breakdown, see VoIP cost per user.

Business phone system questions

Do we still need a phone line from a carrier?

No. Youvoip provides the numbers and the calling. You need an internet connection, and your current carrier number can be ported to us at no charge.

Can each employee have a direct number?

Yes. Every plan includes one local or toll-free number per user, plus an extension for internal calls.

How do we handle calls after hours?

Set business hours and holidays once. After closing, callers hear a separate greeting and can leave a voicemail that is emailed with a transcript, or be forwarded to an on-call mobile.

Is call recording an extra charge?

No. Recording on demand and automatic recording are on every plan. Storage is 90 days on Essentials, one year on Business and unlimited on Ultimate.
