Privacy Policy

This policy explains what personal data Youvoip collects when you visit youvoip.com, create an account or use the Youvoip cloud phone service, why we collect it, who we share it with and what rights you have. Youvoip operates the website and the service. If you have a question about this policy or your data, write to [email protected].

1. Data we collect

  • Account data: your work email address and, as you set up the service, your name, company name, role, the users you invite and their email addresses.
  • Signup data: a one-time code sent to your email (stored only in hashed form until it expires), the plan and number of seats you showed interest in, the page you signed up from, campaign parameters in the link you used (such as utm_source), the referring page, your IP address and your browser user agent.
  • Call detail records: for each call, the calling and called numbers, date, time, duration, direction, the path through your call flow and whether the call was recorded.
  • Call recordings: audio of calls when recording is turned on for a number, queue or user.
  • Voicemails: voicemail audio and the transcription we create so it can be sent to email.
  • Texts: the content, numbers and timestamps of business text messages (SMS and MMS) sent and received through the service.
  • Usage data: sign-ins, devices and app versions, settings changes, and diagnostic data about call quality.
  • Emergency data: the registered emergency address each user sets for E911.
  • Billing data: plan, seats and invoices. Card details are handled by our payment provider and are not stored by us.
  • Support data: the emails you send us and our replies.

2. The demo on this website

The call flow demo runs in your browser. The business name, menu and settings you type are not sent to us or stored. The greeting is read aloud by your browser's own speech feature. We keep only an anonymous flag in your browser session that the demo was used.

3. Why we use your data

  • To create your account, confirm your email and sign you in.
  • To connect, route and complete calls and texts, including forwarding, voicemail and failover to mobile numbers.
  • To store recordings, voicemails and transcripts and show them to the people allowed to see them.
  • To send 911 calls with the registered emergency address.
  • To port numbers in and out at your request, which requires sharing account details with carriers.
  • To bill you and keep accounting records.
  • To answer your questions and provide support.
  • To keep the service secure, prevent toll fraud and abuse, and investigate misuse.
  • To measure which pages and campaigns lead to signups, so we can improve the website.
  • To comply with legal obligations that apply to telecommunications and business records.

We do not sell your personal data, and we do not use the content of your calls, recordings, voicemails or texts for advertising.

4. How long we keep data

  • Account data: for as long as the account is active, and for a limited period after closing so we can meet billing and legal obligations.
  • Unconfirmed signups: deleted after 30 days.
  • Call recordings: for the storage period of your plan (90 days on Essentials, 1 year on Business, unlimited on Ultimate) or the retention policy you set on Enterprise, unless you delete them earlier.
  • Voicemails and transcripts: until you delete them or your retention settings remove them.
  • Call detail records and texts: for as long as needed to provide the service, bill correctly and meet legal requirements that apply to telecommunications records.
  • Support emails: for as long as needed to handle your request and keep a record of it.

5. Who we share data with

We share personal data only with service providers that help us run Youvoip, under contracts that limit their use of the data to that purpose:

  • Telecommunications carriers and number providers, which carry calls and texts, provide numbers, route 911 calls and handle porting.
  • Hosting and infrastructure providers, which store and process data for the service.
  • Email delivery providers, which send confirmation codes, voicemail to email messages and account notices.
  • Payment providers, which process card payments.
  • Analytics providers, which measure website visits and signups.

We may also disclose data when the law requires it, for example in response to a valid legal request, or to protect the rights and safety of our users and the public.

7. Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, correct it, delete it, receive a copy in a portable format, object to or restrict certain processing, and withdraw consent where processing is based on consent.

California residents have rights under the California Consumer Privacy Act (CCPA): to know what personal information we collect, use and disclose, to request deletion, to correct inaccurate information, and to opt out of the sale or sharing of personal information. We do not sell personal information. We will not treat you differently for using these rights.

To use any of these rights, write to [email protected] from the email address on your account. We may need to confirm your identity before acting. If you are a user in a company account, we may refer your request to the account owner, who controls that data.

8. Cookies

We use cookies that are needed for the website and the service to work, such as the session cookie that keeps you signed in and the cookie that protects forms from abuse. We also use analytics cookies to understand how visitors use the website and which pages lead to signups. You can block or delete cookies in your browser settings. Blocking the necessary cookies may stop sign-in from working.

9. Security

Calls are encrypted in transit (TLS for signalling and SRTP for media), and recordings and voicemails are encrypted at rest. Access to data is limited by roles. Read more on the VoIP security page.

10. Children

Youvoip is a service for businesses. It is not directed to children, and we do not knowingly collect personal data from children.

11. Changes to this policy

When we change this policy, we update the date at the top. If a change is significant, we tell account owners by email before it takes effect.
