Cloud phone system for office and remote staff
When half the team works from home two days a week, a phone that lives on one desk stops making sense. Youvoip is a cloud phone system: the numbers, menus, voicemail and recordings live in the cloud, and each person signs in from wherever they work. The same extension rings in the office, at the kitchen table and on a train, and the caller never knows the difference.
How a cloud based phone system works
In a cloud phone system the switching, the voicemail boxes and the call records run on our servers, not on hardware in your building. Your devices connect over the internet with an app or a SIP desk phone. That changes three practical things for a business.
- Location stops mattering: a signed-in device rings wherever it is.
- Changes happen in a browser console, for every office at once.
- Nothing to maintain on site: no PBX, no firmware, no closet.
A cloud phone system for remote and hybrid teams
Remote staff answer the company line on their own mobile with the business number as caller ID, so personal numbers stay private and customers always call back the company. The desktop app puts calls next to email on Windows and macOS, and the web softphone works on any computer with a browser. Ring groups with simultaneous or sequential ringing reach whoever is free, at home or in the office. Managers see answer rates per person in call analytics software, whether the team sits together or not. For a wider view of hybrid setups, see VoIP for small business.
Emergency calls and addresses for people who move
Each user has a registered emergency address for E911. When someone works from a new location, they or an admin update the address in the console, so emergency services receive the right location.
What happens when a connection fails
A cloud phone system does not depend on the office network alone. If the office internet goes down, calls fail over to forwarding to mobile numbers or to voicemail, so callers are still answered or can leave a message. Each device reconnects on its own when the connection returns. Read more about how we protect calls and accounts on VoIP security.

Teams that answer customers all day add queues and texting on Business, described on VoIP call center solutions. For the complete picture, see the cloud PBX page and business VoIP features.

Cloud phone system questions
How many devices can one user sign in on?
Each user can be signed in on the mobile app, the desktop app, the web softphone and a compatible SIP desk phone. All of them ring for that user's calls.
Does a cloud phone system work on mobile data?
Yes. The mobile apps work on Wi-Fi and mobile data. A stable connection gives the best call quality.
Where are call recordings stored?
In the cloud, inside your account. Storage is 90 days on Essentials, one year on Business and unlimited on Ultimate, where recordings can also be exported.
Can we move from a cloud phone system back to another provider?
Yes. The numbers belong to your business, and you can port them out. There is no contract to wait out.
