Phone system for accountants and accounting firms with tax season call queues
Youvoip is a cloud phone system for CPA firms, bookkeeping practices and tax offices of 2 to 50 people. It puts callers in a queue instead of voicemail when every preparer is busy, routes tax, bookkeeping, payroll and billing calls to the right person, lets you add seasonal preparers in January and drop them after April 15 without a contract, and encrypts every call and recording. Plans start at $12.50 per user per month billed yearly, you keep your current number, and the menu is live the day you sign up.
Why accounting firms miss calls from January to April
For most of the year an accounting firm's phone is manageable. Then the W-2s go out, and by the second week of February the main line rings far more than in a normal month, mostly with short questions: did you get my documents, when is my return done, can you email the engagement letter again. The receptionist is on one call, two preparers are on others, and the next five callers hear a voicemail beep. Some leave messages that nobody gets to until the evening. Some call another firm. A payroll client with a real problem on the 14th sits in the same pile as a client asking about the upload link. A phone system for accountants fixes that by sorting callers before anyone answers, holding them in an orderly line, and showing the managing partner exactly where calls were lost.
- Tax return questions go to a queue that rings every available preparer
- Bookkeeping and payroll clients reach their own team, not the tax desk
- Business clients and partners' direct lines skip the menu entirely
- Missed calls and answer rate are reported per person and per line
Call queues that keep tax season out of voicemail
A call queue is the single feature that changes tax season. When a client presses 1 for tax returns, the call rings every preparer who is logged in and free. If all of them are busy, the client hears hold music and an announcement such as "you are caller number two, the expected wait is under three minutes" instead of being dropped into a mailbox. You decide how long anyone waits before they can press a key to leave a voicemail, which arrives in the shared tax inbox as an email with a transcript and the audio attached. Queues are on the Business plan, together with wait time reports, so you can see whether Monday mornings in March need one more person on the phones. During April a seasonal greeting can answer the three questions everyone asks before the menu even starts, such as where to upload documents and the date your firm stops accepting new returns.

Seasonal seats without an annual contract
Most firms add two to six people for the season: seasonal preparers, a second receptionist, an intern who handles document intake. On a contract phone system each of those seats is billed for twelve months. On Youvoip you add a user in a minute in the admin portal, they install the app on their laptop or phone, and they start taking queue calls on the firm's number the same morning. When the season ends you remove the seat and it drops off the next invoice. Your core staff can stay on yearly billing at $19.50 per user on Business while seasonal seats run month to month at $39, so a firm that brings in three preparers from February through April pays $351 for the whole season. Seasonal staff never see client calls on a personal cell, and their call history stays with the firm when they leave.
Encryption and access control for client financial data
Clients read out Social Security numbers, bank account numbers and income figures on calls, which puts your phone system inside the information security program the FTC Safeguards Rule requires of tax preparers. IRS Publication 4557 walks preparers through what that program covers. Youvoip encrypts calls in transit with TLS and SRTP, encrypts recordings and voicemails at rest, and gives every person an individual login. Admins choose which lines record and who can listen. A common setup is to record the front desk and billing lines, where disputes about fees and deadlines happen, and leave partner and preparer direct lines unrecorded. Call recording plays a short announcement, which matters because California, Florida, Illinois, Maryland, Massachusetts, Pennsylvania, Washington and several other states require every party to consent. Enterprise adds SSO, custom roles and an audit log for firms that answer to a larger IT or compliance team. Our VoIP security page lists the controls in detail.
The firm's number on every preparer's laptop and phone
A lot of tax work now happens from home in the evenings and on weekends. The business phone app for Windows, macOS, iOS and Android lets every preparer answer queue calls and call clients back from the firm's caller ID, so nobody hands out a personal cell number. Voicemail to email sends every message with a transcript, so a client who calls at 7 p.m. about an IRS notice gets triaged before the office opens. On Business, business texting lets staff send document reminders and appointment confirmations from a firm number, after the one-time registration that US carriers require for business texting.
See where calls are lost before April, not after
Call analytics on every plan shows the call log, missed calls and answer rate per person and per number for 7, 30 or 90 days. On Business, dashboards add busiest hours, wait times and missed call reasons per department. A managing partner who looks at the first two weeks of February can see that Tuesday mornings lose the most callers and move one preparer to the phones, instead of finding out from client reviews in May. Ultimate adds a live wall board for the front desk and scheduled report emails every Monday.

RingCentral has the largest app marketplace, and its Core plan is cheaper month to month, so it is a sensible pick for a 50 plus person firm with its own IT staff that can live with basic queues and on demand recording. Dialpad's AI notes are good if your team wants call summaries. Where Youvoip wins for a 2 to 30 person firm is the combination accounting firms need in one plan: queues, a year of searchable recordings, automatic recording on every line you choose, and no annual term for seasonal seats. Your phone system and your practice software
Most US firms run some mix of QuickBooks Online Accountant, Xero, Karbon, Canopy, TaxDome, Drake or UltraTax. Youvoip does not plug into those practice tools directly today, and you should ask any vendor that claims a deep integration to show it working before you sign. What works in practice: Business connects to HubSpot, Salesforce and Zoho for firms that run advisory sales in a CRM, every plan exports the call log as CSV so the office manager can match calls to clients, and Google Workspace and Microsoft 365 contacts show the client's name on incoming calls.
Keep the number on your engagement letters and website
Your number is printed on engagement letters, invoices, the IRS Form 8821 and 2848 contact lines, Google and your website. Number porting moves it at no charge. You build the menu and invite staff first, your current line keeps working until the port completes, and then calls arrive through Youvoip on the same number. Switch in the summer or early fall and the firm has months to settle in before the January rush. Our guide on how to port a business phone number lists the documents your current carrier will ask for.
Questions accountants ask before switching phone systems
What is the best phone system for accountants?
The best phone system for accountants is a cloud VoIP system with call queues for tax season, a menu that separates tax, bookkeeping and payroll calls, encrypted calls and recordings, and apps that put the firm's number on every preparer's laptop and phone. Youvoip includes all of that on Business at $19.50 per user per month billed yearly, with no contract.
How much does a phone system for an accounting firm cost?
A cloud phone system for an accounting firm usually costs $15 to $40 per user per month before taxes and fees. Youvoip is $12.50 per user on Essentials, $19.50 on Business and $29.50 on Ultimate billed yearly, or $25, $39 and $59 month to month, from two users. An 8 person firm on Business pays $156 a month on yearly billing.
Can we add seasonal staff for tax season only?
Yes. Add a seat in the admin portal when the season starts, and the new preparer takes calls on the firm's number from the app the same day. Remove the seat after April 15 and it drops off the next invoice. Seasonal seats can be billed monthly at $39 on Business while core staff stay on yearly billing.
Is VoIP secure enough for client tax information?
Yes, when calls and stored data are encrypted and access is controlled. Youvoip encrypts calls with TLS and SRTP, encrypts recordings and voicemails at rest, gives every person an individual login and lets admins decide which lines record and who can listen, which supports the written security plan the FTC Safeguards Rule requires.
Should an accounting firm record client calls?
Many firms record the front desk and billing lines because a recording settles disputes about fees, deadlines and what a client was told, and leave partner lines unrecorded. Check consent law in every state where you and your clients are, since several require all parties to agree. Youvoip plays an announcement and lets you choose which lines record.
Can we keep our current phone number?
Yes. Number porting keeps your existing numbers at no charge, and your current service keeps working until the port completes. Firms that switch between May and October have the new menu tested long before the January call spike.
