Phone system for financial advisors with recorded calls and texting on the firm's number

Youvoip is a phone system for financial advisors who need client conversations on firm numbers, recorded calls and a way to answer while colleagues are in meetings. It fits independent RIAs, wealth management firms and financial planning practices with 2 to 40 people, including teams handling insurance and annuities. Every plan includes recording and apps for client calls. Business adds texting from company numbers. Ultimate includes unlimited recording storage and recording export to your firm's own archive. Plans start at $12.50 per user per month billed yearly, with no contract and number porting at no charge.

Client conversations belong with the firm

A client calls an advisor's personal cell about a distribution. Later, they text a question about a recommendation to that same number. The advisor remembers the conversation, but operations cannot find it when the client calls back. During the next review meeting, incoming callers reach voicemail. When the advisor leaves, clients keep dialing the number they know, and the firm loses visibility into those relationships.

Personal messages also create recordkeeping exposure. SEC and FINRA enforcement sweeps involving unrecorded communications on personal devices have resulted in more than $2 billion in combined penalties. A business number helps bring conversations into the firm's working process, but a phone app alone does not establish compliant capture or retention. Your chief compliance officer, or CCO, still defines which channels staff may use and how records reach the archive.

  • Keep client calls on firm numbers instead of advisors' personal lines
  • Route callers to client service while advisors are in meetings
  • Record what callers and advisors say about instructions and recommendations
  • Give operations a firm contact channel when an advisor leaves

Give existing clients a route to someone who can help

Coordinator taking a call on a laptop softphone with a headset in a small office

A client asking about account paperwork should reach operations without waiting for an advisor to finish a planning meeting. The multi-level auto attendant separates existing clients, prospective clients and operational requests. Ring groups use simultaneous or sequential ringing to reach the appropriate staff. Business adds call queues with announcements when the team is already handling calls.

Business hours and holiday schedules determine where calls go when the office closes. Voicemail to email delivers the message with a transcription, so staff can read a request before calling back. Use the menu to direct service requests, while keeping advice and authorization with the people responsible for them. The phone system routes the conversation; it does not verify an account instruction or approve a distribution. Staff follow the firm's existing identity checks and authorization procedures.

Consider the caller who needs help with a form while their advisor is presenting a plan. Client service can answer the procedural question, while a recommendation question waits for the advisor. Give each menu choice a clear purpose. A short greeting helps clients choose the appropriate team without having to know your internal job titles.

Keep the conversation beyond the next client review

Call recording gives staff a way to revisit the words used in a conversation about a trade, a recommendation or a fee. Every plan supports automatic and on demand recording, with a recording announcement option and a choice of which lines record. Choose automatic recording on the lines covered by firm policy so staff do not rely on remembering to press record during a difficult conversation.

Essentials stores recordings for 90 days. Business stores them for 1 year and adds search by number, user and date. For registered firms that must retain recordings for years, we recommend Ultimate, with unlimited recording storage and recording export. Export recordings to the firm's own archive under the process your CCO approves. Unlimited storage inside a phone service does not replace an archive or establish regulatory compliance.

Adviser books and records under SEC Rule 204-2 generally have a 5 year retention requirement. For broker-dealers, FINRA Rule 4511 and SEC Rule 17a-4 generally require 6 years for most records. These are general reference points, not a rule that every phone call must be recorded. Confirm the applicable record categories, periods and storage requirements with your CCO, including how exported recordings are preserved and retrieved.

Make recording review a defined task. When a client disputes an instruction, staff need the relevant conversation rather than a colleague's recollection. On Business and higher plans, search by number, user and date helps locate the call. For Ultimate exports, agree on a filing process with your archive vendor so the person handling a request knows where to look.

Protect access to sensitive client conversations

Youvoip encrypts calls in transit with TLS and SRTP, and encrypts recordings and voicemails at rest. Each staff member has an individual login. Downloads and exports are logged. The security controls support a firm's communication procedures, while its compliance team determines the access and retention process for client records.

Enterprise adds data retention policies, custom admin roles and an audit log covering administrative actions such as recording exports and call flow changes. It also includes SAML single sign-on with Okta or Microsoft Entra ID, plus SCIM. Review these Enterprise administration options if your operations team needs those controls.

State recording consent laws still apply. Several states require all-party consent. The recording announcement provides notice at the start of the call; have your CCO confirm the announcement and consent procedure for the states involved. Include outbound calls and direct lines in that review, so the procedure covers conversations outside the main menu.

Use a personal device with the firm's calling identity

An advisor can use the business softphone apps on iOS, Android, Windows and macOS, or the web app, to call from a firm number. SIP desk phones are supported too. A direct line can ring the desk app and then the mobile app, keeping the firm's number in the relationship when an advisor works away from the office. Calls made through the personal phone's ordinary dialer do not become business calls merely because the app is installed.

Every plan includes a number per user and unlimited US and Canada calling. Give advisors their business contact details when they join, and use those details on client correspondence. When someone covers a colleague's calls, explain who returns messages and where the client should call next. The number becomes part of the firm's service process rather than a private arrangement between an advisor and a client.

Business texting on Business and higher plans supports SMS and MMS from company numbers. Guided 10DLC registration is available in the admin console. Call and text history with a contact appears together in the app, so an advisor can review a message before returning a call. Carrier registration is separate from regulatory archiving.

Before enabling texting, your CCO should confirm with the firm's archiving vendor how texts are captured and retained. Youvoip is not a compliance archive and does not integrate with Smarsh or Global Relay. Keep your existing archiving vendor. Until the CCO confirms an acceptable capture process, use the communication channels the firm already approves. Moving texts from personal numbers to company numbers helps organize contact, but does not by itself resolve recordkeeping obligations.

See who answers while advisors are in meetings

The call log and answer rate per user are available on every plan. Operations can review missed calls and discuss who covers the main line during client meetings. Business adds dashboards and whisper, barge and monitor tools for supervising live calls. These help an operations manager understand how the team handles callers and where additional coverage may be useful.

Review the pattern alongside the meeting calendar. If the people in a ring group are regularly booked together, change who covers that group. When an advisor leaves, give clients a firm contact path and review their direct line routing. A company number keeps a reachable channel at the practice, while the service team handles the client relationship and any required notifications.

These are the plan facts in our pricing guides, per user per month. Yearly prices require yearly billing. Ask each vendor to confirm retention, exports and archive connections before choosing a service. An included recording feature does not establish compliance with your firm's books and records requirements.

RingCentral has the largest app marketplace, which can suit firms with 50 or more people and IT staff to manage integrations. Dialpad Pro includes AI call summaries, a useful option for teams that prioritize that workflow. Youvoip Ultimate combines automatic recording, unlimited storage and export without a contract. None of these comparisons replaces a discussion with your CCO about the archive and approved channels.

Keep your archive and advisory CRM

Keep your archiving vendor, such as Smarsh or Global Relay, and your advisory CRM, whether that is Redtail, Wealthbox or Salesforce Financial Services Cloud. Youvoip does not integrate with Smarsh, Global Relay, Redtail, Wealthbox, Orion or Envestnet. Ultimate exports recordings to your firm's own archive; it does not provide an automatic connector to those platforms. Confirm with the archive vendor how exported files enter its retention process.

Business and higher plans include CRM integrations with HubSpot, Salesforce and Zoho, plus Google Workspace and Microsoft 365 contacts. The Salesforce integration is not a claim of a dedicated Salesforce Financial Services Cloud integration. Ask to review your actual workflow in the demo rather than assuming the integration handles an advisory recordkeeping task.

For operations, the practical question is where each record lives. Use the phone app for calls and contact history, your CRM for relationship work, and your approved archive for retained records. Have the CCO confirm text capture before turning texting on. Define who exports recordings and checks receipt in the archive so the task has a clear owner.

Keep the number clients already recognize

Number porting at no charge lets the firm retain its current number. The current line works until the port completes. Prepare the greeting, ring groups, business hours and direct line routing before the change, then check how existing clients, prospects and operations callers reach the team.

Review recording announcements, export procedures and permissions with the CCO as part of that preparation. If texting capture remains unresolved, leave texting off while staff use the approved channels. Tell advisors to call through the business app and show client service associates where voicemails and transcripts arrive. The change succeeds when the person covering a colleague knows where to find the conversation and how to return the call from the firm number.

Questions financial advisors ask before switching phone systems

What is the best phone system for financial advisors?

The best phone system for financial advisors fits the firm's calling, recording and archiving procedures. Youvoip Ultimate suits practices that need automatic recording, unlimited recording storage and export to their own archive. It also includes company texting, but your CCO should approve the text capture process before staff use it.

Do financial advisors have to record phone calls?

No, there is no blanket requirement for every financial advisor to record every call. Applicable rules, record types and firm policy determine what must be retained. If your firm records calls, confirm retention periods and state consent requirements with your CCO, and use the recording announcement under the approved procedure.

Can financial advisors text clients?

Yes, when firm policy permits texting and the required capture, supervision and retention procedures are in place. Youvoip Business and higher plans support company SMS and MMS. Your CCO should confirm with the archiving vendor how texts are captured before enabling texting. Youvoip is not a compliance archive.

How much does a phone system for a financial advisor cost?

Youvoip starts at $12.50 per user per month billed yearly, with a 2 user minimum. Ultimate costs $29.50 per user per month billed yearly or $59 billed monthly. A 6 person firm on Ultimate pays 6 x $29.50 = $177 a month billed yearly. Review the recording and archiving workflow before selecting a plan.

Can advisors use their cell phones for client calls?

Yes, advisors can use the Youvoip mobile app on their cell phones to call clients from firm numbers. Recording follows the business line's settings. Calls through the ordinary personal dialer remain outside that workflow. Have the CCO approve mobile calling procedures and tell staff which app to use.

Can we keep our current phone number?

Yes. Youvoip ports your existing number at no charge, and your current line works until the port completes. Prepare your menu, recording announcement and routing before the move. Clients continue using the number they recognize while your staff handle calls through the firm's apps or supported desk phones.
