How business VoIP works with Youvoip
Business VoIP moves your phone lines from copper and a closet PBX to the internet. Your number lives in the cloud, calls reach your team on a mobile app, a desktop app, a web softphone or a desk phone, and every rule about who answers is set in a browser. This page walks through the whole path with Youvoip, from the first number to the daily admin work, so you know exactly what happens at each step.
-
Step 1
Step 1: choose a new business number or port your existing one
Everything starts with a number. You can pick a new local number in the area code your customers know, add a toll-free number for sales or support, or bring the number you already have. Number porting is included at no charge on every plan: you sign a short authorization, we submit the port to your current carrier, and your old service keeps working until the moment the number moves. Your customers never see a gap. The full process, including what your carrier will ask for, is in our guide on how to port a business phone number.
- New local numbers in US and Canadian area codes
- Toll-free numbers with pooled minutes on every plan
- Porting of existing numbers at no charge
- Each user gets a direct number, and shared numbers ring a team
-
Step 2
Step 2: build the call flow with an auto attendant, hours and ring groups
The call flow is the set of rules that decides what happens when someone dials your number. In Youvoip you draw it in the admin console, with no technician and no hardware. Start with the IVR auto attendant: a greeting and a menu such as "Press 1 for sales, press 2 for support". Each option points to a destination: a ring group, a queue, a single person or a voicemail box. Menus can have several levels, so "Support" can lead to its own submenu.
- Business hours: set opening hours per day and a time zone, with a separate path for after hours
- Holiday schedules: add dates once and calls follow the holiday route automatically
- Ring groups: ring several people at the same time (simultaneous) or one after another (sequential)
- Forwarding and overflow: if nobody answers within the time you set, the call moves to the next step or to voicemail
Read more about call routing rules and try the menu yourself in the VoIP demo.

Step 3
Step 3: invite your team and install the VoIP apps
Once the flow is in place, invite people by email. Each person sets a password, gets their extension and direct number, and installs the apps they need. The same account works on the iOS and Android apps, on the Windows and macOS desktop apps, and in the web softphone in any modern browser. A call can start on the desktop and move to the mobile when someone leaves the office. Every user also sets a registered emergency address for E911, which the admin can see and update.
- Mobile apps for iOS and Android
- Desktop apps for Windows and macOS
- Web softphone with no installation
- Voicemail greeting and voicemail to email with transcription for each user
-
Step 4
Step 4: connect SIP desk phones where you want them
Reception desks, clinics and warehouses often still want a physical handset. Youvoip works with compatible SIP desk phones that you already own or buy from any supplier. You add the phone in the console, assign it to a user or to a shared extension, and it rings together with that person's apps. There is no phone closet and no on-site PBX to maintain.
-
Step 5
Step 5: test the flow and go live
Before the number moves, you can call the flow from a test number, press every menu option and check each ring group. When the port completes or the new number is published, calls start flowing through the rules you built. If your office internet goes down, calls fail over to forwarding to mobile numbers or to voicemail, so nothing is lost.
- Test calls through every menu option before going live
- Porting completes on the date the carrier confirms
- Failover to mobile numbers or voicemail when the office connection drops
-
Step 6
Step 6: day to day admin of your cloud phone system
After go-live, the admin work is small and happens in the browser. Add a new hire and they have a number the same day. Remove a leaver and their number stays with the business, ready to reassign. Change the holiday schedule before a long weekend, move someone between ring groups, or record a new greeting in a few minutes. Call recording and call analytics are on every plan, so you can review calls for coaching and see missed calls and answer rate per user without buying an add-on.
- Add and remove users, and reassign numbers when someone leaves
- Edit hours, holidays, menus and ring groups at any time
- Listen to recordings and read voicemail transcripts
- Check the call log, missed calls and answer rate per user

Questions about how business VoIP works
Do I need new hardware to use business VoIP?
No. Youvoip runs in the cloud and your team answers on mobile apps, desktop apps or the web softphone. If you want handsets, you can use compatible SIP desk phones you already own.
How long does it take to set up?
A new number and a basic call flow can be ready the same day. Porting an existing number depends on your current carrier, and your old service keeps working until the number moves.
What happens to calls if the internet goes down?
Calls fail over to forwarding to mobile numbers or to voicemail, so callers still reach someone or can leave a message.
Can I keep my current business number?
Yes. Number porting is included at no charge on every plan, and once the number is with Youvoip you can port it out again if you ever leave.
How does 911 work with VoIP?
Each user has a registered emergency address that is sent with a 911 call. Keep that address current when people move offices or work from home.
Your number, your call flow, your team on every device
Pick or port a number, build the menu and invite the team from one browser tab. Every plan includes the auto attendant, routing, voicemail to email, the apps, recording and analytics, with no contract.
